We are looking for an Event Coordinator to join our growing team and support the logistical planning and delivery of Senbla’s live events across the UK and internationally. This is a varied, hands-on role spanning artist logistics, travel and accommodation, rehearsal planning, orchestral administration, event coordination and on-site event delivery.
This is an ideal opportunity for someone with previous experience in live events, production, artist liaison, venue operations or event coordination who is looking to develop their career within a fast- paced live entertainment environment.
The successful candidate will work across a diverse portfolio of artists, orchestras, venues and productions, taking ownership of key logistical requirements from initial planning through to show day.
The Role
The Event Coordinator will support the planning, coordination and delivery of logistical requirements across Senbla’s portfolio of live events and entertainment projects. The role will involve working closely with venues, artist teams, orchestras, conductors, production managers, suppliers and internal teams to ensure all event requirements are accurately planned, communicated and delivered.
The successful candidate will take ownership of key areas of event logistics while also providing hands-on support at rehearsals, sound-checks and live events across the UK and internationally.
Key Responsibilities
Event & Artist Logistics
- Coordinate show logistics across Senbla’s live event portfolio, from initial planning through to event delivery.
- Book hotels, flights, rail travel and other transport arrangements for artists, composers, conductors and production personnel for touring and one-off shows.
- Research and book external rehearsal spaces, production spaces and event venues across London and the UK.
- Coordinate local transport requirements, transfers and other artist movements where required.
- Prepare and maintain accurate itineraries, schedules, contact information and logistical details for artists and production teams.
- Liaise with artists, agents, management, venues, suppliers and internal teams to gather and communicate event requirements.
- Order and coordinate artist hospitality and riders, ensuring requirements are communicated and delivered accurately.
- Monitor outstanding requirements and deadlines, proactively following up with relevant stakeholders to ensure shows remain on track.
Orchestral & Music Logistics
- Manage the Senbla music library and ensure scores and orchestral parts are correctly prepared, printed and delivered for orchestral shows in the UK and internationally.
- Coordinate with conductors, composers, arrangers, orchestra fixers and production teams regarding repertoire and music requirements.
- Contract conductors and production managers for Senbla’s annual calendar of events, ensuring the appropriate personnel are confirmed and available for each production.
- Liaise with the orchestra fixer to ensure they have the most up-to-date tour routings, schedules and relevant event information.
- Coordinate rehearsal requirements, including rehearsal bookings, timings, locations and associated logistics.
- Ensure changes to schedules, routings or personnel are communicated promptly to all relevant parties.
International Artists & Event Administration
- Collate information required for Certificates of Sponsorship, PPE letters and other documentation for non-UK artists and personnel.
- Assist with the coordination of international travel and associated documentation where required.
- Maintain accurate event records, schedules, contact lists and logistical information across relevant Senbla systems and documents.
- Support the preparation and distribution of event information, itineraries, contact sheets and advance information to relevant stakeholders.
- Assist with event-related administration, including supplier information, purchase orders,invoices and expenses where required.
- Ensure relevant information is shared with internal teams including Production, Marketing, Finance and Operations.
On-Site Event Support
- Attend rehearsals, sound-checks and other pre-event activity as required.
- Act as a Senbla representative and key point of contact for artists, venues and production teams on show days.
- Arrange and manage dressing rooms and backstage requirements.
- Manage the delivery of artist riders and allocate items between assigned dressing rooms.
- Support artist arrivals, departures and local movements where required.
- Finalise guest lists and provide accurate information to venue ticketing teams.
- Assist with artist accreditation and access requirements where applicable.
- Liaise with venue teams, production staff, artists and suppliers to resolve issues and respond to requests during events.
- Ensure agreed logistical and hospitality requirements are delivered to the required standard.
- Represent Senbla professionally and positively at all events.
Post-Event & General Support
- Provide feedback following events and highlight any issues, learnings or improvements for future shows.
- Maintain accurate records of event requirements and update internal documentation following changes or completed events.
- Support the wider Events, Production and Operations teams with additional coordination and administrative requirements as needed.
- Contribute to improving processes and systems that make the planning and delivery of Senbla events more efficient.
- Undertake other reasonable duties in support of Senbla's live events and wider business.
Skills & Experience
We are looking for someone who is organised, proactive and comfortable taking responsibility in a fast-paced live entertainment environment. The role would suit someone with previous experience in event coordination, production, artist liaison, venue operations or a similar live events environment.
Key skills and experience include:
- Previous experience in a similar production, events, artist liaison or coordination role, ideally within a venue, promoter, production company, orchestra or live music environment.
- A genuine interest in live music and events, with enthusiasm for attending shows and an understanding of what goes into delivering a successful live event.
- Strong organisational and administrative skills, with excellent attention to detail.
- Excellent written communication skills, with the ability to produce clear, accurate and professional emails and event information.
- Confident communicating with artists, agents, venues, suppliers, orchestras, production teams and internal stakeholders.
- Strong interpersonal skills, with the ability to build and maintain positive working relationships across a wide range of stakeholders.
- Experience coordinating travel, accommodation, schedules and other event logistics.
- An understanding of artist riders, backstage requirements and the practical needs of touring artists.
- Strong time-management skills, with the ability to manage multiple shows, deadlines and priorities simultaneously.
- Proactive and solutions-focused, with the ability to anticipate requirements and resolve issues calmly and efficiently.
- Comfortable working independently and taking ownership of tasks, while also being a collaborative member of the wider team.
- Confident using Microsoft Office and/or Google Workspace, particularly Outlook, Word, Excel and shared document systems.
- Comfortable working with detailed schedules, spreadsheets, trackers and event documentation.
- Commercially aware and mindful of budgets, costs and the importance of delivering events efficiently.
- Adaptable and able to respond positively when priorities change, particularly in the lead-up to and during live events.
- Willing to take initiative and get involved across a broad range of projects.
- Flexible and willing to work around the live events calendar, including evenings and weekends when required.
- Willingness to travel within the UK and internationally when required.
